Please read and fill out this form including all required information, along with you signature as proof that you accept and understand our terms and conditions. Applications missing information will not be considered.

Successful applicants will be notified by March 14th 2025
If accepted, vendors will be required to submit their fees to the coordinator by April 1st. (After April 15th, any vendor spots un-paid for, will open to the waiting list of suitable vendors.)

FEES:
Successful applicants will be required to submit fees by April 1st, 2025
The fee of $800.00 for food booth set up at the 2024 North Country Fair (NCF) June 20-22 , 2025. Included with the site fees are three (3) staff passes. Additional passes of up to two (2) may be purchased at the discounted price of $100/each. Any additional must be bought at full gate price. Please advise the Coordinator of your additional pass needs. These passes include camping privileges for the duration of the Fair.
New vendors who are accepted, will be asked for an additional Environmental Deposit of $150.00. This will be required as a separate cheque and must be received with the site fee by April 1st 2025 . This deposit will be refunded upon adherence to NCF environmental rules and regulations and site inspection at the end of the Fair. (“If you brought it in….take it out.”)

Vendor operation at the Fair is subject to approval and compliance with Peace Country Health Department regulations and inspection as per below
Health Dept. Requirements:
Successful candidates will receive a package from the coordinator outlining all guidelines and rules from AHS . The package will need to be filled out and returned to the coordinator 30 days prior to the event –May 15 , 2025. Any vendors that do not have the documentation back to the coordinator by this date will not be approved.
Hoses for fresh water: must be food grade hoses – no garden hoses, white food grade hoses only.
Sewage: Grey water tanks are provided on site. Vendor will require own hoses.
Upon Arrival
Please have the volunteers at the road radio for the coordinator Valda. She will direct you to your vending site.
Mobiles with valid AHS permits may begin operation without inspection once cleared by the coordinator.
Environmental Requirements:
We Care:
The festival site is owned by the festival organizers and our association. As stewards of this land, we have limited resources for waste disposal.
Our Festival aim is to improve our environmental sustainability. Every year we are committed, where possible, to adopt practices that reflect sustainable principles and best practices.
Since 2018 we have committed to implementing a composting program that includes our volunteer, vendor and hospitality areas.
In addition, we have implemented a policy of no single use water bottles to be sold on site. Your help and compliance with this initiative will go a long way to achieving our goal.
Fundamental to this approach is the use of compostable plates, cutlery, napkins, straws and cups. The use of styrofoam and non-compostable packaging, such as aluminum foil is not acceptable. Single serving condiment packages are to be avoided to prevent contamination of the compost.
To facilitate this objective, all materials must be CERTIFIED COMPOSTABLE, NOT BIODEGRADABLE or RECYCLABLE. There are a number of suppliers who can provide this type of material to you, should you need help in sourcing these materials please contact us for a list of suppliers. Some typical certifications are: • BPI • ASTM D6400 or D6868 • CAN/BNG 0017-088, or EN 13432 • OK Compost
Receptacles for the following types of waste will be provided for your use.
1. Compost – 5 gallon pails will be provided to vendors for all organic waste material. Full pails will be transferred by Enviro Crew to our compost facility with an electric bear fence.
2. Recyclables – All cardboard and clean recycling is welcome, our Enviro Crew will provide blue bags and remove cardboard on the daily. All recycling must be clean.
3. Returnables for deposits – public bottle & can cages may be used, or place returnables in blue bags to be collected by Enviro Crew
4. Garbage – Any material not fitting the above criteria. Please do not leave any cooking oil behind and ensure that your area is tidy when you leave. Failure to comply with this and the above Environmental Policy will result in a $500.00 charge.
We are a home to many forms of wildlife including BEARS! Store foods accordingly.
Festival Logistics
Vendors are required to arrive on site Wednesday June 19th to 11:00pm or Thursday June 19 by 11:00 am to be ready for AHS inspections scheduled for early Thursday afternoon.
Hours of operation and site location are at the discretion of the Vendor Coordinator. Sites will be allocated upon arrival. Please tell volunteers on the road to radio Coordinator Valda upon arrival and await instructions for entry.
Vendors will be set up and ready for Peace Country Health Department final inspection by Thursday at 5:00 pm. Vending of any food product cannot happen prior to Health Inspection and approval. Mobiles with valid AHS permits may begin operation without inspection, with coordinator approval. Please show permit to Valda.
Failure to comply and gain approval will result in Vendors being removed from the fair grounds and any and all fees paid will not be refunded.
Vendors are expected to serve from 10:00 am (or earlier) until at least midnight on Friday & Saturday. Sunday service is until 5 pm when closing ceremonies start.
All vendors must leave their site by 3pm on Monday June 23, leaving their site in original condition.
Conditions at the Fair are “Rustic” Electrical usage may be limited as we are running partially on solar and from grid. Generators may be permitted if they are quiet.(*shhh*…) and will be at the discretion of the Coordinator. Low voltage LED lights are highly recommended.
Not all vendor sites are perfectly flat. Please be prepared, blocking will not be supplied.
Water
Potable water is supplied via taps run off a gravity fed water tank shared by all food vendors and the Fair Hospitality area. Please try not to waste this limited resource as we pay to have it delivered for your usage.
Gray water must be transferred to the grey water holding tanks supplied. Any Grey Water spilled on site is the responsibility of the Vendor to clean up and may be subject to additional clean up charges.
We do not handle sewage in our tanks.
All hoses, splitters, cords and adapters are the vendor’s responsibility.
Camping
Camping space is supplied behind your vending site, with shared fire rings are in camping area.
Porta-Potties are conveniently located on site.
Vehicles not attached to facilities must be parked in designated Day Parking area unless being used for camping. Vendor row is a walk only area after Friday noon. Vendors needing to make supply runs will be required to leave vehicles in Day Parking.
“Fair Behavior” as listed in the program will be modelled by all vendors. Pets are not welcome.
Other Stuff:
The Fair has 4 stages with music and entertainments going until the wee hours. Bring some earplugs to get your rest!
We will also be hosting 20+ craft vendors for your shopping pleasures.
There is an ATM on site in Vendor row.
As some of our musicians arrive after our festival kitchen closes we provide them Coupons to take to our Food Vendors to grab a meal ($15 max) . These will be reimbursed by the coordinator on Sunday afternoon.
Sunday night is our volunteer appreciation dinner with entertainment to follow. Vendors are welcome to join us for the evening concert. The festival is totally volunteer powered, so please respect all our volunteers and their efforts to bring this festival to life.
There will be no refund of vendor site fee after May 1, 2025 should you need to cancel.
